Government Structure:

Officer Positions

  • Internal Communications Officer(ICO)

    Manages the internal operations of FES, making sure that all lines of communication are open and working:

    • Responsible for keeping track of all Steering Committee member tasks, makes executive decisions at standstills, has executive authority during conference calls and keeps other liaisons up to date
    • Works with each Steering Committee member to create small, manageable goals for each position
    • Sends a monthly email to Steering Committee to see what everyone is up to and keep us on task
    • Corresponds with AEU liaison(s) to bring FES matters to the community
    • Is notified (as well as specific steering committee members) when officers are swamped and need help

  • AEU Liaison/External Co-Chair
    • Works with the ICO and National Youth Advisor to establish affiliation, works on status and budget
    • Attends AEU board meetings and post meeting reports to message board
    • Corresponds with individual steering committee members to work on issues with the AEU and the movement as a whole
    • Emails FES members any announcements from the AEU or Ethical Culture movement

  • Conference Planner

    Responsible for working with steering committee and National Youth Advisor to plan annual conference:

    • Works on the registration form
    • Works on location (2007: New York vs. St. Louis)
    • Corresponds with an Ethical Society
    • Helps plan out service projects for the conference
    • Responsible for finalized conference itinerary
    • Researches transportation and local events during conference

  • Member Outreach Officer (MOO)
      • Responsible for keeping a list of active FES members
      • Every week contacts two members of YES alumni to determine their level of interest in FES:

      a) Use email, phone, the Facebook, etc. to find and contact members

      b) Tell them about FES and ask about their interest in our organization

      c) Update their contact info

      d) Put them in touch with regional FES members

      e) If someone cannot be found, put them on the “Missing Persons” board on the messageboard; tell FES members to check this board after 5 new people are posted

      • Sends out emails about changes in contact information and update master member list
      • Works with the ICO to find a FES member to attend the YES conferences
      • Works with the National Youth Advisor to inform YES seniors about FES and bring them to FES conferences

      GOAL: how many members do we have? Work on growth!

  • Secretary/Publicity (with supporting committee)
    • Takes notes at all meetings/conference calls and posts the minutes on the message board
    • Writes a blurb for all society newsletters and the AEU Dialogue about what FES is up to (include dates for future activities, locations, and other pertinent information/FES updates)
    • Makes a brochure/pamphlet about FES
    • Sends out birthday emails (obtain a list of members from the MOO)
    • Have our own FES newsletter—future goal
  • Spiritual Discussion Facilitator (with supporting committee)

    Make sure FES has a solid ethical core with spiritual content by keeping in touch with members and finding out what issues interest them:

    • Chooses two-three articles about ethical humanism/social action, etc. every two months or so; post them on the message board and email FES members about your updated posts
    • Sends this literature to the Webmaster for the website (including articles, thoughts, ethical issues, social action issues, etc)
    • Facilitates a message board thread so people can add reflections
    • Helps plan conference ideas with the Conference Planner and Steering Committee and come up with possible themes; help schedule events and plan discussions; help do the closing ceremony at conferences
    • Keeps in contact with various leaders from various societies; gradually contact leaders across the country and get input
    • Attends Lay Leadership school with other members of the Ethical Culture movement

  • Webmaster
    • Updates website and message board
    • Manages internet information resources
    • Emails members to remind them of the message board
    • Writes instructions on how to navigate the board!
    • Sets up a search engine on the site and message board
    • GOAL: develop online journal where members can post papers, thoughts, photos, poems, whatever they want – to do this you must submit a one paragraph summary of your piece (to create an abstract)

2006 Business Meeting Notes

Future Goals

  • Hold a service project every winter break?
  • Have regional groups do service projects across the board on one selected weekend
  • Have incentive to involve community and keep up interest, have an activity to keep FES fresh in our minds: alumni dinner? Chat room? Winter break conference?
  • Re-do registration form to be conscious of everyone in our age bracket (mindful of college status, economic background, etc); include the following question “what’s your involvement in Ethical Culture/YES/FES, if any?”; have a separate demographics section; have online registration?
  • Have a FES representative attend a YES conference? Represent!
  • Send relevant issues to webmaster (school papers, articles, etc) for posting on the site
  • Get funding from the AEU so as to provide pay for the MOO and Internal co-chair?
  • Vote online on the message board to fill positions – should each of the five people get their own thread? Label each post?

Organization

  • Should the steering committee find a new forum for discussion (abandon phone conferences?)
  • Major issues with FES: motivation and communication; A) what are our goals? B) What’s everyone up to? (New co-chair should keep everyone connected)
  • Should we clarify job roles? Try to use originals for a year as a trial period and then can decide
  • To ensure something gets done → an officer will contact the internal co-chair and specific officers on the steering committee for help when they’re swamped (have direct communication!)
  • When anyone does anything FES related they should post a message on the message board to update everyone of their work status
  • Our message board should have goals and deadlines, a general timeline – so must make sure the webmaster is updated – post when new societies open up so if one blossoms in our area we can attend

Concerns

  • We need more money from the AEU for scholarships (to get people to conferences), for a half-way year project, etc

Our Business Meeting

Amendments

  • Become an AEU affiliate (we’re sort of divided on this one, even though initially it passed, but after hearing the details behind the WES and AEU conflict people are torn)
  • If we do plan on affiliating with the AEU this means we must act in accordance with AEU laws, rules, and we won’t go to court without AEU consent

Positions

Member Outreach Officer (MOO)

  • Call people who used to be involved to see if anyone wants to remain involved
  • Use Facebook for keeping in contact and finding possible members
  • Send out birthday emails?
  • Every week contact 2 members of FES/YES to determine their level of interest, get in touch with regional members → get a sense of the number of active members
  • Can use email, phone, Facebook, etc to find and contact members → tell them about FES and ask about their interest in our organization
  • If they can’t find someone they should put them on a “Missing Persons Board” on the website
  • Contact YES advisors as a means to get to members and gauge interest
  • Every year at YES get advisor information, know status of advisors and whether they keep in contact with members (past and present)

Spiritual Discussion Facilitator

  • Provide literature for the website about relevant information (articles, thoughts, ethical issues, social action issues, etc)
  • Help plan conference ideas with the conference planner and steering committee and come up with possible themes/also help schedule events/and plan out discussions
  • Keep in touch with members and find out what issues interest them
  • Keep this an open forum where everyone can contribute

  • The ultimate co-chair who knows everything that’s going on, makes executive decisions at standstills, has executive authority during conference calls and keeps other liaisons up to date
  • Email members to remind them of the message board
  • Correspond with AEU liaison(s) to bring matters to the community
  • Is notified (as well as specific steering committee members) when officers are swamped and need help

AEU Liaison/External Co-Chair

  • Attend AEU board meetings and keep FES updated
  • Work with the ICO to establish affiliation, work on status and budget
  • Report to message board about AEU meetings
  • Correspond with individual steering committee members to work on issues with the AEU and the movement as a whole

Liaisons (Co-Chairs)

  • Keep up to date with committee
  • Have three Co-Chairs so one person does not get swamped? Or just two? We need an external co-chair/AEU liaison who works with the AEU and keeps them (and us) posted; we need an internal co-chair (the ultimate co-chair) who knows everything that’s going on, makes executive decisions at standstills, has executive authority during conference calls and keeps other liaisons up to date

Conference Planning

  • Ideas: Go to new societies every year? Possible places: NY (Manhattan/Westchester) or St. Louis?
  • Have a service component
  • Do we want to have a pre-conference or post-conference or both?
  • Dates: memorial day weekend sounds good, the extra day allows us to have a service component, early summer works for most people because its right before people start summer school/jobs/traveling/etc
  • Start publicizing that the conference is occurring next memorial day weekend ASAP; its good to have a consistent time slot so people can plan accordingly
  • Make it a habit to attend the local society’s platform
June 6, 2006 Conference Call Minutes

1) Review evaluations from FES '06 (see "FES 2006 composite evals.doc" attached) – What to work on:

  • Work on food
  • Make more games and ceremonies – spend more time on organizing ceremonies and fitting in more games to the schedule
  • More time in general – pre-conference/post-conference (meet starting Thursday night)
  • Create a timeline for the conference (so we can better prepare)
  • Should we have an Executive Meeting? Where steering committee and officers come to town the night before and plan out the details of the conference?
  • Transportation was an issue – to the conference or during the conference?
  • Transportation information: direct people to hostel website? Offer more directions/phone numbers/information?
  • Relied too heavily on people bringing their cars; next year, organize people bringing cars (check a box on a form if you’re driving and would be willing to drive people around during the conference)
  • Focus on city’s with public transportation to avoid this problem

2) Affiliation proposal (see "Affiliation Proposal.doc" attached)

AEU budget

  • We want to get into the budget, “we are doing this for peanuts” – Susan
  • To send people to the AEU assembly in June, to the lay leadership conference in August, or establish scholarships, we need money!
  • To have someone attend the lay leadership counsel they have to inform the committee by March
  • Should the Spiritual Discussion Facilitator attend this lay leadership training?
  • Find out how often lay leadership conference meets!
  • We need more money for publicity
  • Should we be doing everything electronically? This would require more funding from the AEU
  • We need money for membership outreach (stamps, envelopes, etc)

3) Timeline, anything objectionable? Anything to add?

  • Every steering committee member should contact ICO when elected and create own timeline of short manageable goals
  • Check out timeline (FES affiliation and timeline.doc)

4) AEU Task Force on youth and young adult programming

  • Anybody want to participate? – Go Max!
  • Open it up to all FES members? Put a thread on the message board?
  • Get more information
  • Max is sending out an email

5) AEU assembly attendance?

  • Anybody interested?
  • Open it up to all FES members or just steering committee?
  • Max is sending out an email – need to know ASAP (keep in mind it’s expensive)

  • Did everyone get it?
  • Re-send it? Forward it to the big list, forward to alumni list as well
  • We should really create a new email list called FES – Susan will start the account, it is just for people who’ve attended conferences (Alum email is just for everyone who has graduated from YES) Owners – Susan, Rachel, and Alex
  • Click on link and can sign the letter, then can attach personal statement if you so desire

7) Elections (post nominations by June 17, compile elections by June 25)

  • Nominations up by this Wednesday, give another week to let nominees email Liz to agree if they want to run, Liz will talk to interested candidates and let them know what they’re getting into – email out constituent list so people know who to talk too
  • Liz will create list of nominees and will send to Stefan to put on message board (he’ll create threads); start sending nominations in now! Open voting now and let it run for a week
  • Liz send out email on Friday (mass email list) and respond to her if you want to run
  • Stefan will post nomination list as soon as its compiled
  • Need to email everyone about elections and let them know that we are using the message board, give people instructions on how to use (already found under “communications”) and give enough time so people can have the opportunity to email Stefan for help – Stefan will send out an email tomorrow to remind people of website and remind people to nominate officers, vote, etc
  • Use voting through message board

8) General Business

  • FES 2006 participant list should be sent out (did Alex do this?) – Rachel is correcting the existing list
  • Spencer and Liz are rewriting the amendments and bi-laws for FES and including new job descriptions/structural stuff/etc; if a representative goes to the AEU assembly, they will be sent with a copy of our new system
  • Susan – send Rachel registration information and she’ll make corrections
  • Need a FES blurb/description to send to the AEU dialogue – Susan will work on this and send to steering committee before it gets to the AEU
  • Raymond has FES logos that he needs to send – to whom? Send to Susan who can scan them in
  • If someone wants information about FES, have an inquiry, then send queries to the MOO (but have Max’s email until June 25th) – if MOO is unclear then can contact ICO
